Approach

Smart People presented a solution designed to meet C2's unique needs. Team as a Service for a global robotics leader

Our client, a global leader in robotics and automation, faced the challenge of managing a global team responsible for the development and maintenance of HR and logistics systems. Smart People took on the task of supporting the client in this complex undertaking.

Challenge

The client needed to build a team that would enable the effective implementation, development and maintenance of the global HR environment. The realization of this goal involved additional objectives:

  • Significant acceleration of implementation and development work
  • Optimization of the team's operating costs
  • Organizing work so that the utilization of consultants exceeds 95 percent
  • Ensuring continuity of competencies in both implementation and maintenance mode
  • Introducing a system of measuring business client satisfaction
  • Billing of team members not only according to working time but also quality of service (KPI)
  • Adapting the team to different time zones and to seasonality: periods of reduced and increased activity

The main challenge was to integrate diverse competencies into a single, coherent project with a global reach. As an outsourcing service provider, we offered the client a TaaS (Team as a Service) solution. This ensures a fast turnaround in case of employee turnover, guaranteed replacements and full knowledge transfer between employees.

Approach

Our approach was based on close collaboration with the client at every stage of the project. We started with a thorough analysis of needs and expectations, then proceeded to recruit the best professionals from different parts of the world. The strategy included:

  1. Analyzing HR needs in a global context
  2. Developing a recruitment plan that takes into account the specifics of different markets
  3. Implementing a distributed team management system
  4. Optimizing HR and logistics processes internationally
  5. Optimizing teams in terms of size and effectiveness through collaboration with mentors and coaches
  6. Implementing a global team policy and strategy

The key element was an effective distributed team management system that allowed smooth communication and coordination regardless of time zones and cultural differences. Together with the client, we also developed indicators to verify how the teams work.

Implementation

  1. Identifying and recruiting talent in the global labor market
  2. Recruiting employees into teams
  3. Organizing teams and assigning managerial and team leader roles
  4. Onboarding team members in the client organization
  5. Organizing reporting, job sharing and knowledge management processes
  6. Continuous monitoring and optimization of processes

All implementation processes went smoothly and according to plan.

Results

The client gained an efficient, global team that effectively manages the development and maintenance of HR and logistics systems on a global scale. Key customer benefits:

  • Increased operational efficiency on a global scale
  • Access to the best talent from around the world
  • Improved HR and logistics processes
  • Better coordination between dispersed teams
  • Ability to focus on core business and innovations in robotics and automation
  • Lower overall costs
  • Continuity of competencies
  • Measurement, control and accountability by quality of work

"Thanks to the support of Smart People, we have been able to create a truly international team of experts. Their professional approach to recruiting and managing human resources has enabled us to significantly increase the efficiency of our global operations while reducing and simplifying costs."

BioFusion: recruitment outsourcing that unlocked growth

BioFusion is an innovative company that specializes in creating raw materials based on extracts from vital fungi and plants, then creating a new generation of nutraceuticals with properties supporting the body, combining innovative scientific solutions with the forces of nature.

This young but dynamic team in the biotechnology industry faced the challenge of optimizing production and administrative processes. The company needed a flexible partner who would take on the burden of human resources management, in particular the process of finding and recruiting the competencies needed to implement new production, purchasing, sales and warehouse processes.

Challenge

BioFusion's main challenge was to find a balance between dynamic growth and effective management of administrative facilities and competencies. The client was looking for employees who would help with:

  • Handling key processes in the company
  • Increasing the efficiency of processes in a rapidly growing organisation
  • Optimizing the costs associated with the team

Approach

We suggested an outsourcing approach to the search and hiring of new competencies. We proposed the creation of a team that would support key processes in the company such as sales (including sales to foreign markets), purchasing, production and warehousing. Management from the client's side was involved in the recruitment process to verify the fit of new individuals to the needs and organizational culture of the company. The remaining elements, from the search for the right competencies, through all formalities and recruitment, to partial employee service after hiring, were taken over by the Smart People team.

Results

Thanks to this approach, the relatively small company was able to fully concentrate on development: creating new production lines, strengthening its image on the market and expanding sales to European markets. Participation in the world's largest pharmaceutical fair in Milan brought BioFusion new orders and new directions of development.

"We took over the management of the recruitment and hiring process, and thanks to this, the rapidly growing company was able to concentrate its efforts on the search and development of new markets and new production lines, which brings tangible business benefits."

Katarzyna Kwiatkowska, CEO of Smart People

"With comprehensive outsourcing in the area of recruitment, we can now fully focus on what we do best: developing innovative solutions in the field of biotechnology. The professionalism and flexibility of Smart People has exceeded our expectations."

Piotr Ląd, CEO of BioFusion

"The decision to entrust recruitment processes to Smart People turned out to be a very good choice. We saved time and resources on ineffective candidate searches, and gained access to expert knowledge, which allowed us to avoid many potential regulatory pitfalls. Definitely Smart People's support proved to be crucial for specialist recruitment."

Piotr Ląd, CEO of BioFusion

What we've learned

Working with BioFusion has allowed us to broaden our perspective. Until now, we have mainly focused on working with large, established companies, but the BioFusion case showed that our solutions can be just as valuable for dynamically growing startups. By taking a flexible approach and tailoring our services to the specific needs of smaller companies, we discovered that we can support not only market leaders, but also start-ups that need flexible and scalable administrative solutions.

HR at the helm of a renewable energy revolution

Our client, a global research and manufacturing company specializing in the design and production of renewable energy solutions, was faced with the challenge of supporting its dynamic growth by scaling HR functions. In the face of growing demand for sustainable energy solutions, Smart People was asked to help build a team to maintain a global HR platform that could accelerate project implementation and ensure smooth and efficient operational processes in the area of human resources management.

Challenge

The global platform supports approximately 50,000 employees located worldwide in the area of soft processes such as periodic evaluations, management by objectives, recruitment, employee adaptation, and training. These processes must be carried out continuously in various locations and for all employees, regardless of their location and time zone. To provide such support, the platform must optimize HR processes, and errors and problems must be resolved continuously.

Approach

Smart People implemented a flexible solution tailored to the client's unique needs, based on close cooperation and regular communication. The strategy included:

  • Global HR platform: Smart People took over the management of the global HR platform, which enabled the client to effectively manage their technical service personnel.
  • Accelerated recruitment and onboarding: in cooperation with the client, we took over the recruitment of IT teams to support the platform and the onboarding of newly hired employees, which accelerated both processes.
  • Innovative approach to team creation: working teams were created from both the client's employees and teams rented by Smart People for the client. We ensured the transfer of knowledge, integration within teams, and effective communication between internal and external employees.
  • Based on the client's infrastructure, we created a system that enabled effective communication, quick resolution of employee requests, monitoring of work progress, and teams adapting to the client's common mission.
  • Optimizing project implementation: standardizing processes and closely monitoring project schedules helped the client quickly implement new solutions and ensure stable operational management.
  • Continuous improvement: Smart People developed key performance indicators (KPIs) for teams and individual team members, in collaboration with the client, enabling monitoring and assessment of performance, quality improvements and cost optimization.

Results

  • Accelerated project schedules: the client was able to speed up project implementation, meeting the growing demand for renewable energy solutions.
  • Increased operational efficiency: optimized processes increased productivity and reduced downtime, allowing the client to focus on innovation, reduce employee turnover, and manage the risk of losing expertise.
  • Access to global talent: Smart People enabled the client to access a larger pool of the best specialists in the world, strengthening its position as an industry leader.
  • Cost optimization: the client optimized operational costs in the IT and HR areas, enabling sustainable development and adjusting costs to the number of tasks.
  • Better coordination and development of competencies: thanks to knowledge exchange, good relationships and cooperation mechanisms, the client now has a well-organized global team that effectively cooperates and continuously improves its competencies.
